Please read these Terms of Service carefully before engaging ZFormats for any design work. By submitting a project enquiry, making a payment, or proceeding with any work, you agree to be bound by these terms.

1. About ZFormats

ZFormats is a professional document design service operated by Zaineb, based in Pakistan. These Terms of Service govern all work carried out through zformats.net and any associated platforms including Upwork, Fiverr, and PeoplePerHour.

2. Services

ZFormats provides professional document design and formatting services including but not limited to:

  • Business proposals and RFP design
  • Brand templates in Word, PowerPoint, Canva, and InDesign
  • Invoice and letterhead design
  • Manual design and formatting
  • Worksheets, workbooks, and training handouts
  • Planner and journal design
  • Resume and CV design
  • Book formatting and typesetting
  • Document design and conversion

All services are provided on a per-project basis. The scope, deliverables, and timeline of each project are agreed upon before work begins.

3. Project Process

  • Step 1 — Enquiry:  You submit your project details through the quote form at https://zformats.net/quote. I will review your requirements and respond within 24 hours with a quote and proposed timeline.
  • Step 2 — Agreement: Once you accept the quote, a 50% deposit is required to secure your project slot and begin work. No work commences until the deposit is received.
  • Step 3 — Design & Delivery: I will design your project and deliver the first draft within the agreed timeframe. You review the work and provide feedback for revisions.
  • Step 4 — Final Delivery: Once revisions are complete and the final balance is paid, all final files are delivered to you in the agreed format.

4. Payment Terms

  • Deposit: A non-refundable deposit of 50% of the total project fee is required before work begins. This deposit secures your place in the project schedule and covers initial work carried out.
  • Final Payment: The remaining 50% is due upon completion of the project and before final files are released. Final files will not be delivered until the full balance has been received.
  • Payment Methods: Accepted payment methods will be confirmed at the time of quoting. All payments must be made in the agreed currency.
  • Late Payment: If final payment is not received within 7 days of the project completion date, ZFormats reserves the right to withhold final files until payment is received in full.
  • Overdue Accounts: Projects with outstanding balances overdue by more than 30 days may be subject to a late payment fee of 10% of the outstanding amount per month.

5. Revisions

Every project includes 2 rounds of revisions at no additional cost. A revision round is defined as one consolidated set of feedback submitted in a single communication.

What counts as a revision:

  • Changes to layout, formatting, colours, or fonts
  • Minor copy adjustments within the existing structure
  • Resizing or repositioning of elements

What does not count as a revision:

  • Significant changes to the scope or direction of the project
  • Adding new pages, sections, or content not included in the original brief
  • Restarting the design from a different concept entirely

Additional revision rounds beyond the 2 included are charged at an agreed rate per round. Revision requests must be submitted within 14 days of delivery. Requests received after this period may be treated as a new project.

6. Turnaround Time

Standard turnaround time is 3–5 business days from the date work begins (i.e. after the deposit is received and the full project brief is provided).

Turnaround time depends on:

  • The complexity and volume of the project
  • The completeness of materials provided by the client
  • The speed of client feedback during the revision process

Delays caused by incomplete briefs, late feedback, or missing assets from the client’s side are not the responsibility of ZFormats and may result in an adjusted delivery date.

Rush delivery may be available for an additional fee. Please mention your deadline at the time of enquiry.

7. Client Responsibilities

To ensure smooth and timely delivery of your project, you agree to:

  • Provide a clear and complete project brief before work begins
  • Supply all necessary assets; logos, brand guidelines, content and images in a timely manner
  • Review and respond to drafts within a reasonable timeframe (recommended: 3 business days)
  • Consolidate all feedback into a single communication per revision round
  • Ensure all materials provided are owned by you or that you have the right to use them

ZFormats accepts no responsibility for delays or quality issues resulting from incomplete briefs, missing assets, or slow client responses.

8. Client Files & Confidential Information

When you engage ZFormats for a project, you may share files, documents, brand assets, business information, or other materials necessary to complete the work (“Client Materials”). I treat all Client Materials with strict confidentiality.

Specifically:

  • Client Materials are used solely for the purpose of completing the project
  • Client Materials are never shared with third parties unless required to deliver the service
  • Client Materials are stored securely and deleted or returned upon project completion if requested
  • ZFormats does not claim any ownership over Client Materials — all original content, data, and information you provide remains entirely yours

It is your responsibility to ensure you have the right to share any materials submitted to ZFormats for design work. ZFormats accepts no liability for materials shared without appropriate permissions.

9. Intellectual Property & Ownership

  • Client ownership: Upon receipt of full payment, you own the final designed files delivered to you. You are free to use, reproduce, and modify them for your business purposes.
  • ZFormats ownership: Until full payment is received, all work created by ZFormats remains the intellectual property of ZFormats. Unpaid work may not be used, reproduced, or distributed in any form.
  • Third-party assets: If your project incorporates stock images, fonts, icons, or other third-party assets, it is your responsibility to ensure appropriate licences are in place for your intended use. ZFormats will flag any licencing considerations but accepts no liability for unlicensed third-party assets used at your direction.
  • Portfolio usage: ZFormats reserves the right to display completed work in its portfolio and on professional platforms. However, your work will never be displayed publicly without your explicit permission. You may decline portfolio usage at any time without affecting your service. 10. Cancellations & Refunds

  • Cancellation by client: If you cancel a project after work has begun, the 50% deposit is non-refundable. If significant work has been completed beyond the deposit stage, an additional cancellation fee may apply based on the work completed to date.
  • Cancellation by ZFormats: In the unlikely event that ZFormats is unable to complete a project, you will receive a full refund of any payments made, including the deposit.
  • Refunds: Refunds are not available once final files have been delivered. If you are dissatisfied with the work, please raise your concerns before accepting the final delivery so they can be addressed within the revision process.

11. Satisfaction & Dispute Resolution

  • I am committed to delivering work you are proud of. If you are not satisfied with any aspect of the project, please contact me as soon as possible through https://zformats.net/contact so we can work together to resolve it.
  • In the event of a dispute that cannot be resolved amicably, both parties agree to attempt resolution through good-faith negotiation before pursuing any formal legal action.
  • These Terms of Service are governed by the laws of Pakistan. Any disputes that cannot be resolved informally will be subject to the jurisdiction of the courts of Pakistan.

12. Limitation of Liability

ZFormats provides all services with professional care and skill. However, to the fullest extent permitted by law:

  • ZFormats is not liable for any indirect, consequential, or incidental damages arising from the use of delivered files
  • ZFormats’ total liability in connection with any project is limited to the total fees paid for that specific project
  • ZFormats is not responsible for how delivered files are used after final delivery

13. Changes to These Terms

ZFormats reserves the right to update these Terms of Service at any time. The “Last updated” date at the top of this page will always reflect the most recent version. Continued engagement with ZFormats after any changes constitutes acceptance of the updated terms.
